Pension Trustee Administrator / Support Specialist

Salary: €30,000 – €40,000 per annum
The Role
Our client is an independent professional pension trustee firm providing expert pension trustee services to a wide range of corporate and public sector schemes.
They are looking for a Pension Trustee Administrator / Support Specialist to join their growing team in Dublin. This is a great opportunity for someone who enjoys organisation, governance, and working closely with senior stakeholders in a regulated environment.
In this role, the successful candidate will work closely with the Directors to ensure strong and effective governance frameworks are maintained in full compliance with legislation and the Pensions Authority’s Code of Practice across a range of pension schemes.
The successful candidate will provide high-quality administrative and governance support to Trustee Directors while delivering a first-class service to clients and pension scheme members. The role includes responsibility for coordinating trustee meetings, preparing meeting packs, taking accurate minutes, and proactively managing action points to support effective governance and decision-making.

Responsibilities
Governance and Administration
- Manage the day-to-day administration of the pension trustee company
- Liaise with key pension scheme stakeholders in a professional and timely manner
- Process and validate scheme-related requests accurately and efficiently
- Maintain scheme records, logs, and compliance registers
- Support governance frameworks in line with Pensions Authority requirements
- Ensure adherence to all regulatory and Code of Practice obligations
- Support the ongoing review and improvement of policies and procedures
- Assist with additional tasks and project work as required
Trustee Meetings
- Plan and coordinate trustee meetings, including scheduling and logistics
- Prepare agendas in consultation with the Chair and senior stakeholders
- Collate, review, and format high-quality trustee meeting papers
- Distribute complete meeting packs within agreed deadlines
- Attend trustee meetings and produce accurate, professional minutes
- Record decisions, discussions, and actions clearly and consistently
- Maintain and actively manage action logs, following up with stakeholders
- Escalate overdue or high-priority actions where appropriate
Stakeholder Support
- Liaise effectively with trustees, advisors, administrators, and external stakeholders
- Deliver a high standard of service to clients and scheme members at all times
Requirements
Essential
- Minimum of Leaving Certificate education
- Proven experience in an administrative, governance, or executive support role
- Strong customer service mindset with a professional approach
- Excellent organisational skills with strong attention to detail
- Experience preparing meeting packs and supporting senior stakeholders
- Strong minute-taking skills with the ability to accurately capture key discussions
- Excellent written communication skills and ability to produce professional documentation
- Ability to manage multiple priorities and meet tight deadlines
